OKLAHOMA cITY
Please fill out one reservation for each guest, even if you are sharing a room. Once we receive your form, we will send you an invoice and a secure link to pay your deposit ($1,600). When we’ve received both the reservation form and the deposit, your reservation will be complete and your spot guaranteed.
Final payments (the balance of $3,200 for double occupancy or $3,800 for single occupancy) are due by October 30, 2026. Note that deposits are refundable, less $200 administrative fee, until October 30, 2026. After October 30, we are unable to refund deposits or final payments.
By signing and submitting this document, I acknowledge that I have read and agreed to all items explained herein.
RESPONSIBILITY / LIABILITIES
Linda Vater and Arbor Tour Co. act only in the capacity of agent for the suppliers of the travel services named in the Itinerary or otherwise providing services or goods in connection with the Tour (the “Suppliers”), such as hotels and other lodging providers, local hosts, sightseeing tour operators, bus lines, restaurants, and providers of entertainment. We assume no responsibility for any personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity which may be occasioned by reason of any act or omission of any of the Suppliers or from this Tour. You assume
full and complete responsibility for all risks of travel and for complying with all laws of the country in the Itinerary. You are also responsible for respecting the authority and following the directions of the Tour guide during a Tour. By making a reservation for a tour hosted by Linda Vater and Arbor Tour Co., the participant certifies that they do not have any mental, physical, or other condition or disability that would create a hazard for themselves or other participants. Linda Vater and Arbor Tour Co. reserve the right in their sole discretion to accept, decline to accept, or remove any participant on a tour hosted by Linda Vater and Arbor Tour Co.
ASSUMPTION OF RISKS AND RELEASE
You understand and acknowledge that, if you participate in activities during our Tour, certain risks and dangers may arise, including, but not limited to, the risk of accidents in remote places without access to medical facilities, transportation, or means of rapid evacuation and assistance; YOU DO HEREBY EXPRESSLY ASSUME ALL OF THESE RISKS AND DANGERS, AND YOU DO HEREBY EXPRESSLY AGREE TO FOREVER RELEASE, DISCHARGE AND HOLD US AND OUR AGENTS, EMPLOYEES, OFFICERS, DIRECTORS, ASSOCIATES, AFFILIATED COMPANIES, GUIDES, GROUP LEADERS, AND SUBCONTRACTORS HARMLESS AGAINST ANY AND ALL LIABILITY, ACTIONS, CAUSES OF ACTIONS, SUITS, CLAIMS, AND DEMANDS OF ANY AND EVERY KIND AND NATURE WHATSOEVER WHICH YOU NOW HAVE OR WHICH
MAY HEREAFTER ARISE OUT OF OR IN CONNECTION WITH YOUR TRIP OR PARTICIPATION IN ANY ACTIVITIES IN WHICH YOU PARTICIPATE.
LIABILITY
We and our Suppliers assume no responsibility for any personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity which may be occasioned by reason of any matter beyond our or our Suppliers’ exclusive control including but not limited to a delay or cancellation of a flight that causes you to miss all or any portion of the Tour, acts of God, acts of government, war, terrorist acts, riots, disaster, weather extremes, or strikes. We have no special knowledge regarding the financial condition of the Suppliers, unsafe conditions, health hazards, weather hazards, or climate extremes at locations to which you may travel.
FORCE MAJEURE
In the event that Arbor Tour Co. must cancel or curtail a tour due to circumstances beyond our reasonable control — including but not limited to acts of God, pandemic, government action, war, civil unrest, natural disaster, or weather extremes — we will make every reasonable effort to recover and return to you any funds not yet expended or committed to Suppliers on your behalf. However, we cannot guarantee a full refund of costs already incurred or paid to Suppliers prior to cancellation. We will provide you with a written accounting of any amounts recovered and returned.
CHANGES IN ITINERARY
We strive to operate according to the published itinerary. However, in the event of unforeseen circumstances beyond our control or opportunities that would enhance the itinerary, adjustments may be necessary or appropriate. We reserve the right, without penalty, to make changes in the agreed-upon itinerary whenever, in their judgment, conditions warrant or if they deem it necessary for the comfort, convenience, or safety of participants. We will let you know about any significant changes as soon as possible if there is time before your departure. Otherwise, we will announce changes on the tour.
CANCELLATIONS
Linda Vater and Arbor Tour Co. aim to provide your tour as booked. We reserve the right to cancel your tour under any circumstances. If we cancel your tour for reasons other than your failure to make required payments, you will receive a full refund.
If you need to withdraw from the tour for any reason, you must notify Arbor Tour Co. in writing. Cancellation becomes effective when written notice is received. If written notice of cancellation is received prior to October 30, your deposit will be refunded less a $200 administrative fee. If cancellation occurs on or after October 30 — which is also the final payment deadline — no refund of any amount paid will be issued.
COMPLAINTS
In the unlikely event that you have a complaint, you must promptly notify the host so they can take remedial action on the spot. If the matter cannot be resolved directly, any complaints must be submitted in writing to Linda Vater or Arbor Tour Co. within 28 days after the date of your return.
DISPUTE RESOLUTION
In the event of any dispute arising out of or relating to these Terms and Conditions or any tour provided by Arbor Tour Co., the parties agree to first attempt resolution through good-faith negotiation. If negotiation is unsuccessful, the parties agree to submit the dispute to non-binding mediation before pursuing any other legal remedy. Any legal action not resolved through mediation shall be governed by the laws of the State of Iowa, without regard to its conflict of law provisions, and shall be brought exclusively in the state or federal courts located in Polk County, Iowa. The prevailing party in any such action shall be entitled to recover reasonable attorneys’ fees and costs.
GOVERNING LAW
These Terms and Conditions shall be governed by and construed in accordance with he laws of the State of Iowa. Any disputes not resolved through the process described above shall be subject to the exclusive jurisdiction of the courts of Polk County, Iowa.
INSURANCE
Travel insurance is recommended but not required.
PHOTOGRAPHY
Linda Vater and Arbor Tour Co. will be taking photos and videos of the Tour for future editorial and promotional use. By participating in the Tour, participants acknowledge and consent to their possible appearance in such images and videos.
